How do I create a bill to KlearNow for broker services?

This article summarizes the steps to create billing in the KlearNow platform for brokers to bill KlearNow for Customs Clearance and Duty/taxes.

INVOICES

  1. Login to the Broker panel and navigate to the hamburger menu.
  2. Select Invoices from the hamburger menu to open the broker invoices workflow.

CHARGE LIST

The user will land on the Charge list, which will show all the shipments processed by the broker.

  1. A broker can review the customs clearance charges and duties, and taxes. (Duties will show up in the charge list when the payer is broker daily/broker monthly)
  2. A broker could add the additional charges if any occurred on the broker side in the same shipment charge list.
  3. A broker can select the list of charges by selecting All and clicking on generate an invoice.
  4. A broker can enter the broker reference number.
  5. After generating the invoice, the Invoice will show up in the pending payment tab.

Tips:

  • A broker can filter the charge list using the following filters:
    • Duties and Taxes - All the shipments (where the payer is the broker) having duties and taxes will be displayed when this filter is selected.
    • No Duties and Taxes - All the shipments which do not have duties and taxes paid by the broker will be displayed when this filter is selected.
    • Date Range - The broker can filter the list of shipments using the date range.
  • Brokers can select multiple invoices and click on Generate button to Generate multiple invoices at once.

 

 

 

SELECT MULTIPLE INVOICES

PENDING PAYMENT

  1. Brokers can review all the generated invoices to KlearNow in pending payment.
  2. Brokers can update the broker reference number if missed while generating an invoice.
  3. In case of an Entry Summary update, the generated invoice will move to the Rework.

 

REWORK

  1. In case of an Entry Summary update, the generated invoice will move from the Pending payment tab to Rework.
  2. The updated Duties and Tax amount will reflect here automatically in the Rework tab.
  3. Brokers can select shipment and click on regenerate invoices to resend the invoice to KlearNow with updated duties and tax amounts.
  4. Once the broker regenerates the invoice it will move back to the pending payment tab.

Tips:

  • Broker should make sure that there is no shipment present in Rework tab to get payment processed faster from KlearNow.
  • Broker should avoid entry summary updates post invoice generation to minimize delay in payments.

 

PAID

  1. KlearNow after processing the payments will mark the invoice paid.
  2. Broker can check the invoices paid by KlearNow in Paid tab.

 Tips:

  • When a shipment invoice has been marked paid by KlearNow and then broker goes into the system and update Entry Summary for that shipment. The differential amount will show up in Debit/Credit Notes tab.
  • For Debit Notes - It will show the differential amount in Negative.
  • For Credit Notes - It will show the differential amount is Positive.
  • Differential Amount - Previous Duties and Taxes - New Duties and Taxes

 

 

DEBIT/CREDIT NOTES

  1. Post Invoice amount paid by KlearNow, if broker updates Entry Summary and duties amounts gets changed then the Differential amount will reflect here in Debit/Credit Notes tab.
  2. The Debit/Credit Notes functionality is view only in Jan 28 Release and full functionality will be available in next release.
